Privacy policy
A plain-language explanation of what personal information we collect, why, and the choices you have. We are a small company, and we aim to collect as little as we need.
1. Who we are
This website is operated by FlowVexa Digital Water Solutions Inc., a company based in Calgary, Alberta, Canada ("FlowVexa", "we", "us"). Questions about this policy can be sent to hassan@flowvexa.ca. Our privacy contact is our founder, Hassan Elsheikh.
We follow the principles of Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). Because we are based in Alberta, Alberta's Personal Information Protection Act (PIPA) may also apply to some of our activities. We try to meet the higher standard of whichever applies.
2. What we collect
Information you send us
If you email us or use the enquiry form, we receive what you choose to write: typically your name, organization, email address, country, role, the type of enquiry, the topics you are interested in and your message. We ask only for what we need to respond.
How the enquiry form works
The form on this website does not send data to our web server. When you submit it, your own email app opens with a pre-filled message. Nothing reaches us until you press send in that app. At that point the message travels by ordinary email through your email provider and ours.
Technical data
As with any website, our hosting provider and the third-party services that deliver the site's fonts, icon library and scripts receive technical information when your browser requests files. This usually includes your IP address, browser type and the time of the request, and these providers may keep logs under their own policies. We do not use this information to identify you.
3. Why we use your information
- To read and respond to your enquiry.
- To discuss and, where appropriate, deliver services, training or collaboration you ask about.
- To send you updates about new articles, workshops or programs, but only if you have asked for them (see section 4).
- To keep reasonable business records and meet legal obligations.
We do not sell personal information, and we do not use it for advertising.
4. Consent and electronic messages
By sending us an enquiry, you consent to us collecting and using the information in it to respond. You can withdraw consent at any time, subject to legal and contractual limits, by writing to us.
Canada's Anti-Spam Legislation (CASL) requires express consent before we send commercial electronic messages. We will send you marketing or newsletter-style email only if you have clearly opted in, for example by ticking the optional box on the contact form (unticked by default and separate from your consent to be contacted about your enquiry) or by emailing us to ask for updates. Every such message will identify us, include our contact details and give you a way to unsubscribe. Replying to your enquiry is not the same as subscribing you to updates.
5. Sharing and storage
We share personal information only with service providers who help us run the business, such as email and hosting providers, and when the law requires it. Those providers may store information outside Canada, including in the United States, where it may be accessible under local laws. We do not otherwise disclose your information to third parties.
6. How long we keep it
We keep enquiry correspondence for as long as it is needed to respond, to manage any ongoing relationship and to meet business and legal record-keeping requirements. After that we delete it or remove identifying details.
7. How we protect it
We use reasonable administrative and technical safeguards appropriate to the sensitivity of the information, such as access controls and account protection on our email and devices. No method of transmission or storage is completely secure, and ordinary email is not encrypted from end to end by default. Please do not send passwords, security credentials or sensitive network details by email. We can agree a safer way to share them.
8. Cookies and similar technologies
This website does not set tracking, analytics or advertising cookies by default. We do not use the site to build profiles of visitors. Third-party services that deliver fonts, icons and scripts, such as Google Fonts and content delivery networks, receive your IP address when your browser fetches files from them and may log it. If we add analytics or other tools that use cookies in the future, we will update this policy and ask for your consent where required.
9. Your rights
You may ask us to:
- tell you what personal information we hold about you and how we use it;
- correct information that is inaccurate or incomplete;
- delete your information, where we are not required to keep it;
- stop sending you email updates, or withdraw a consent you have given.
Send requests to hassan@flowvexa.ca. We may need to confirm your identity first, and we will respond within the time the law requires. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.
10. Children
This website is intended for professional and business audiences. We do not knowingly collect personal information from children.
11. Links to other sites
Pages on this site may link to external websites. We are not responsible for their privacy practices, and we encourage you to read their policies.
12. Changes to this policy
We may update this policy from time to time. The "last updated" date at the top shows when it last changed. If we make a significant change to how we use personal information, we will make that clear on this page.
